When you book an appointment or contact us, we collect:

  • Any notes you choose to add to your booking

  • Whether you have consented to receive marketing

Why we use it and our lawful basis

We use your name, email and phone number to manage your appointment and to contact you about it. Our lawful basis for this is performance of a contract — you cannot book an appointment without it.

We keep a record of your past appointments so we can provide a better service on your next visit. Our lawful basis for this is legitimate interests.

If you tick the marketing box, we may send occasional offers and news. Our lawful basis for this is consent, and you can withdraw it at any time.

Who we share it with

Your appointment details are added to our shop calendar, which is hosted by Google. Google acts as a data processor for us.

Confirmation emails are sent through our email provider.

We do not sell your data, and we do not share it with anyone else except where we are legally required to.

How long we keep it

We keep booking records for up to three years after your last appointment so we have a service history and can deal with any queries or complaints.

Contact form messages are kept for up to twelve months.

If you withdraw marketing consent, we stop sending marketing immediately and record that you have opted out.

Your rights

Under UK GDPR you have the right to:

  • Ask for a copy of the personal data we hold about you
  • Ask us to correct anything that is inaccurate
  • Ask us to delete your data, where we have no ongoing lawful reason to keep it
  • Object to or ask us to restrict how we use it
  • Withdraw consent to marketing at any time
  • Complain to the Information Commissioner’s Office at ico.org.uk

Security

Access to booking data is restricted to staff who need it, protected by individual password-secured accounts. Passwords are stored hashed, never in readable form. Changes made in our admin system are logged.
